Special Vacancy Notice - Open to Internal and External Candidates

General Service Staff, Grade Equivalent G4; Special Short Term - part time position 50% until 31st December 2017, with possibility of extension; Start Date: as soon as possible

Context:

Under the supervision of the Senior Operations Staff and Head of Office, the Operations Assistant will be responsible for oversight, co-ordination and implementation of all relevant activities. In most instances, it is expected that these activities will fall under the Service Area of Movement and Assisted Voluntary Returns.

 

Core Functions / Responsibilities:

 1.       At pre departure stage: scheduling and coordination of transportation, with due consideration for the completion of required pre-departure activities, including information dissemination, counselling and orientation training if necessary. 

2.       Coordination with offices responsible for transit, reception and post-arrival assistance. Timely notification of internal and external partners concerning relevant bookings, routings, cancellations, etc as well as notification concerning special passenger requirements, such as wheel chairs, stretcher cases etc. 

3.       Assignment of proflight numbers. Preparation and distribution of passenger manifests. 

4.       Timely preparation and distribution of passenger documents and tickets. 

5.       Liaise with relevant Embassies for seeking documents as appropriate. 

6.       At transport stage: Coordination of transportation and mainly coordination with pre-embarkation medical staff, transit, escort and baggage assistance. 

7.       Liaison with immigration authorities and service providers. 

8.       Problem solving intervention as required. 

9.       At post-arrival stage: scheduling and coordination of transportation, with due consideration for required post-arrival activities. 

10.   Coordination of passenger reception, distribution of return grants as appropriate. 

11.   Comply with the IOM Policy for a Respectful Working Environment”, “IOM Confidentiality Agreement”, “IOM Data Protection Manual”, IOM Standards of Conduct”, and the “IOM Policy on Reporting Irregular Practices, Wrongdoing and Misconduct”. 

12.   Reporting to Senior Operations Staff and Head of Office on activities, prepare statistics. Revision and adjustment of invoices from service providers, prior to submission to finance staff. 

13.   Any other duties that may be assigned.

 

 

Required Qualifications and Experience
Education

·         Bachelor’s degree studies in Public Administration, Political or Social Sciences or a related field from an accredited academic institution with 2 years relevant professional experience in migration; or

·         Completed secondary/high school education with 4 years relevant professional experience in migration. 

Experience

·         Experience in the field of migration issues, including operational and field experience, minimum 2 years’ experience in IOM project development and management is an asset

·         Experience in liaising with governmental authorities, other national/international institutions and NGOs.

·         Knowledge of monitoring and evaluation

·         Experience of regional issues in the thematic area a distinct advantage 

Languages

Fluency in Czech and English is required.

Knowledge of Russian and/or South-Eastern European languages is an advantage.
